- Account Data: Name, email address, phone number, and password (securely managed via Laravel Jetstream).
- Service Data (Amelia Steward): If you enroll in a maintenance plan, we collect:
- Physical Address: The location of your home, driveway, dock, or marina slip.
- Asset Details: Make, model, year, and specific names/identifiers of your vehicles or vessels.
- Access Credentials: Gate codes, lockbox codes, or marina access instructions provided by you.
- Visual Data: We capture photographs and/or videos of your assets (e.g., dashboards, engine gauges, exterior conditions, and mooring lines) to provide "AI-Verified" status reports, proof of service, and "Post-Storm" updates.
- Payment Data: All subscription payments are processed securely through Stripe. We do not store, process, or transmit your full credit card numbers on our servers.
- Automated Usage Data: IP addresses, browser types, and site usage metrics via Google Analytics to improve user experience.
3. How We Use Your Information
- To Perform Physical Services: We use your address, access codes, and asset details to locate your property and carry out our scheduled visits.
- Service Verification: We use photographs of your gauges and engines to provide you with proof of service and a visual historical log of the mechanical health of your assets.
- AI Processing: We may utilize third-party AI tools (such as Google Vertex AI) to analyze photos of your dashboard/gauges. This allows us to accurately transcribe text—like engine hours, voltage, or RPMs—directly into your digital reports.
- Communication: To send you bi-weekly status reports, billing notices, and emergency post-storm communications.
4. How We Share Your Information We highly value the confidentiality of our clients. We do not sell your personal data. We share information only with:
- Trusted Service Providers: Stripe (Payment processing), Mailgun/AWS (Email delivery), and Google Cloud (Hosting and AI image transcription).
- Field Staff & Contractors: Our local stewards receive only the specific information necessary to locate and service your assets for that day's circuit (Address, Access Codes, and Asset Details).
- Legal Necessity: If required by law, subpoena, or to protect the safety of our team, our clients, or the Amelia Island community.
5. Data Retention & Security
- Visual History: We retain photos of your assets for the duration of your active subscription to provide you with a historical health log of your vehicles and vessels.
- Security of Access Codes: Physical access instructions (gate codes, lockbox combos) are stored using industry-standard database encryption. Access to your physical location data is strictly restricted on a need-to-know basis to the staff members assigned to your specific service circuit.
6. Your Privacy Rights You maintain control over your data. You may access, update, or delete your account information at any time via your user dashboard. If you cancel your Amelia Steward subscription, you may contact us to request the permanent deletion of all property photos, access data, and historical reports from our active servers.
7. Cookies and Analytics We use essential cookies for user authentication (login sessions) and third-party cookies (Google Analytics) to understand how visitors use our community guides. You can opt out of non-essential tracking via your device or browser settings.
